LEGAL — PRIVACY
Privacy Policy
This policy explains how Veltaweb handles personal information when you visit our website or use the Enquiry-to-Job System.
Effective: 23 September 2026
01 — Who this policy covers
This policy applies to people who visit our website, contact us, ask about our services, or whose information is handled through a customer’s Enquiry-to-Job System. It explains the information we collect, why we use it and the choices available to you.
02 — The information we collect
We may collect contact details such as your name, email address, phone number, company name and job title. We may also collect messages you send us, website usage data, technical data such as device and browser information, and records of calls or meetings where this is appropriate and disclosed.
03 — Information handled for our customers
When we run an Enquiry-to-Job System for a customer, we may handle enquiry and customer information on that customer’s behalf. This can include names, contact details, enquiry details, appointment details, communications and quote-follow-up records. Our customer decides why and how that information is used. We use it only to provide the agreed service and follow their documented instructions.
04 — Why we use information
We use information to respond to enquiries, provide and improve our services, set up and support customer workflows, send service messages, manage our business relationship, protect our systems, meet legal obligations and keep accurate records. We do not sell personal information.
05 — Our legal basis
Where data protection law requires a legal basis, we may use information because it is needed to take steps requested by you, perform a contract, meet a legal obligation, pursue a legitimate business interest, or because you have given consent. Where we act for one of our customers, that customer is responsible for choosing the appropriate legal basis.
06 — Cookies and website analytics
Our website may use essential cookies and similar technologies to make it work properly. We may also use privacy-conscious analytics to understand how visitors use the site. You can usually control cookies through your browser settings. Blocking some cookies may affect how the site works.
07 — When we share information
We may share information with trusted service providers that help us run our website, email, hosting, scheduling, customer support, reporting or connected workflows. They may only use information to provide services to us or our customer, unless the law requires otherwise. We may also share information where necessary to comply with law, protect rights or respond to a valid request.
08 — International transfers
Our service providers may process information in locations outside the place where you live or work. When this happens, we take reasonable steps to ensure that appropriate safeguards are in place, as required by applicable data protection law.
09 — How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected, to provide the service, resolve a dispute, meet legal or accounting requirements, or protect our rights. Customer data handled through the Enquiry-to-Job System is kept in line with the customer’s instructions and the agreed service arrangement.
10 — Keeping information safe
We use reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure. No system is completely secure, so please avoid sending sensitive information unless it is necessary and you are comfortable doing so.
11 — Your choices and rights
Depending on where you live, you may have rights to ask for access to your personal information, correct it, delete it, restrict or object to certain use, receive a copy, or withdraw consent. To make a request, contact us using the details below. If we are handling information for one of our customers, we may ask you to contact that customer directly.
12 — Marketing
We may send you service updates or marketing messages where allowed by law. You can opt out of marketing at any time by using the unsubscribe option in a message or by contacting us. We will still send essential messages about a service you use or have asked us to provide.
13 — Children’s information
Our services are designed for businesses and are not aimed at children. We do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us and we will take appropriate steps.
14 — Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page, with its effective date. If a change is material, we may provide additional notice where appropriate.
15 — Contact us
For questions, requests or concerns about privacy, email contact@veltaweb.com. Please include enough detail for us to understand and respond to your request.
